The scope of work was reviewed and all alternates taken. 2. Peter requested a list of the bid results. Bill Gillen will send a copy of the bid tabulation that he made at the bid opening. 3. Independent works with Waste Mangement and will be placing containers probably at the northeast/northwest corner of the building. Approximately nine 30 yd. dumpsters are expected. Brett asked that the skylights be put in a separate dumpster from the roofing materials. 4. Insulation will be delivered on 6/29 or 6/30 along with rolls of roofing. This will be hoisted at that time onto the lower roof using a crane from Harold's. 5. It is expected to start in earnest July 1 and be completed by September 1. 6. There will be weekly meetings at 8:00 a.m. on Wednesdays at the DPW conference room. Either Greg or Brett will attend the job meetings along with a repsentative from DPW. 7. Hours of operation: Start time is 7:00 a.m. In July, especially during rip off, workers may arrive as early as 6:00 a.m. 8. Parking: It is expected that the DPW will be able to reserve an area for Independent's trucks (4-5 will be on the job). 9. Clearing around and within the building: At the next meeting Independent will advise as to where they will start and what areas they need cleared for that day. 10. Brett will provide the name of the contact person at DPW for daily coordination of work and where they will need to work. (Michael Antosz 587-1570 ext. 115) 11. First work: Roof framing the skylight openings from inside on a sizzor lift. This will require that the contractor be given space inside to get at that day's work. 12. We reviewed the time and details of payment. The pay requisitions will be reviewed informally with Greg then given to Bill Gillen who will review, approve and forward to Brett for payment. It is expected that the maximum time will be 30 days. 16. I requested that a blank pay requisition which will show the schedule of values be submitted so that it can be approved well in advance of the first requisition which is expected around July 1. Construction will begin in earnest on Monday or Tuesday depending on the weather. 3. Pay Requisition No. 2 will be issued tomorrow for the lumber materials delivered to the job site tomorrow. 4. Steve checked with ATC about the disposal of the encapsulated flashing. The removal work shall be done with axes and choppers--no saws nor dust created. This material will be put into a separate dumpster from the regular waste and sent to the dump. 5. Steve asked Greg to look into getting his bid deposit returned and the status of payment on Pay Requisition No. 1. 6. Richard said that newspaper and historic commission folks have been coming by the building asking questions about the removal of the skylight and the"free light" they provide. Questions are referred to Brett. Bill checked the cost of replacing the 23 skylights which, according to the Means Estimating Guide,would cost about$150,000 to replace. 7. Work to date: Removal of the dust-covered flat glass panels under each skylight which, incidentally, greatly brightened the garage. 8. Arrangements have been made to send hem to Kramer of Greenfield at no charge. 8/17: The dumpster has not been filled with any new skylights yet. 8/24: Second dumpster went to Greenfield,no problem. There will be one more. 5.4 Peter estimated that he was 25%done with membrane covering of the roof. 8/17: Now 60% complete with the membrane. 8/24: Peter will be 100%complete with the membrane by 8/26/05. 5.5 There is approximately 300 s.f. of planking replacement at a unit price of$5/sq. ft. If we continue at this rate, a cost of$1,000 above and beyond the contract price will be incurre for roof decking replacement. 8/17: We're now at 500 s.f. of planking replacement(300 s.f. above the contract). 8/24: Additional planking replacement on the lowest roof was discovered to be 3"plank, therefore,another'/4"plywood is needed. Peter requested$7.50/s.f. in lieu of the $5/s.f. n the contract for the 2"plank. This was agreed to by Bill Gillen. 5.6 Peter noted that we should replace the fascias. FGA will make a recommendation on the fascia material and whether it should be lx6 or 2x6 treated. 8/17: FGA will recommend a paint maintenance-free fascia. James Hardy XLD 1"thick pre- finished. White. 1"x 5-1/2"x 10' lengths. Shall be installed with stainless steel screws or a PVC material, such as Nestek. 8/24: It appears that a little fascia replacement will be necessary. That which is done wi 1 be largely covered by the Sarnafil metal fascia. Any new fascia installed must be back and face primed, and will be fabricated from lx6 pine. -2- 5.7 We discussed the means of beam repair and the need to use a two part epoxy glue for glu ng in the replacement wood where rot has been removed. 8/17: Beam repair has been successfully done using 2 part epoxy 3M DP-100. 8/24: Beam repairs have proceeded uneventfully except for one beam(31' span, 6"x 13')on the lower roof that was rotten on the side. It was sistered with the 2x6 in addition to the i•p being cut down 4" and replaced. 5.9 After the meeting I found a source of epoxy glue in Connecticut: Binding Source(1-800 249- 3333). I spoke with Jeff whose product is DP 100 that comes in 200 ml tubes. An appli.ator gun and replacement tips must be purchased. This glue has a 20 minute pot life. Wayne King noted that the Sika Co. also makes an epoxy for bearing structural wood. NEW BUSINES 7.1 Discussed the need for new lighting with Scott. It was confirmed that only one bay is us..d for repairs and perhaps that bay should have more lighting than the others. Another issue rai.ed: when a big truck backs into the dark storage barn,the contrast is so great they cannot see (similar to the way lighting in tunnels is needed at the entrance to reduce the contrast). 7.2 Peter asked if 1"copper bars can be substituted in lieu of the brass bars on the contract drawings. At$1/lb. scrap value downspouts might have been pulled off the wall and scrapped by vandals. NEW BUSINESS 10.1 After the meeting we toured the building and noted the gutters have been installed on the west and are being installed on the east side. 10.2 The lighting in the repair bay was quite bright and claimed to be very good by the mechanics. 10.3 Work to be done besides the gutters is installing the ladder and the walk path on the roof, and to submit the roof guarantee. 10.4 It was noted that the 60-day retainage period has begun and will be completed the end of November at which point the retainage will be due the roofer. 10.5 Next meeting: Wednesday, October 5, 2005, at 8:00 a.m. We will prepare a preliminary punch list on that day. The roof from the ground up appeared complete. We set a ladder up to walk the roof and found it too slippery to do this day. 2. Items not done, according to Peter: Ladder to be installed. 3. We discussed the possibility of snow sliding off the roof and agreed that it would be a good idea to install a test section with 4x4 ribs designed to prevent the snow from sliding. Ford Gillen will prepare a sketch adding ribs to two bays on the east facing slope as a test for this year so that if snow sliding is a problem, we will at least have the assurance that we know how to correct it. The technique involves installing 4x4s and bolting them to the roof in a herring- bone pattern to permit drainage, but no snow slippage. The 4x4s are then covered over and flashed with Sarnafil. 4. Warranty is required from Sarnafil. 5. We will meet again after the warranty is received and the ladder has been installed. • William V.
