Minutes of Meeting # 7 – May 03, 2012

New Business:
Item Description / Discussion
1.4a Schedule:
• Tom pointed out that this is a weather sensitive project – trick is when to pull trigger on
roof.
• CC: some room to breathe on exterior painting (not residential dorm)
• Building empty on Wed 23, starting demo
• Exterior mobilization on 29th
1.4 Permitting:
• Requirements for permit:
o Drawings – TEAM IN PROGRESS
Permit set: 24x36 stamped and scanned. Tom requested that these be
done ASAP. (Later: in progress)
Electronic for Blg. Inspector (wet stamped scans)
11x17 set for Fire Department, Specs too.
Half size set for Ryan requested.
o Fire protection narrative- Dino, done and provided to KFA
o Code summary and chapter 13 energy – KFA to complete by Tuesday (more
extensive version).
o Ch. 17 structural tests & inspections- Ryan
o AAB report including waivers- KFA (June 18th hearing)
o Affidavits – from arch and various disciplines – TEAM
• Building Inspector Items
o Later: Laura to review possible changes in toilet room layouts with Lou.
o Water fountain at third floor: not response by Lou, presumed okay
1.5 Lift
• nothing new
1.6 Windows
• Measuring Friday
1.7 MEP items
• Quick turnaround of submittals will be required.
1.7a Slate
• Samples delivered. Charlie to take to his roofers for review.
• Temporary protection of Roofing: roofer owns – (Roger clarified).
• Jim: “Who protects porch copper roof?” Tom: Depends who goes first.”
1.7b Long lead items - Early Bids – Next round of buy outs
• Hardware
1.8 What is needed from design team?
• Site drawings: Tom creating “do not disturb” signs for site. Tom will get sketch to LF for
revising the site plan.
• Structural : Drawings reissued.
1.9 Specification clarifications
• Signage: Charlie to provide info when required.
1.11 Early Work:
• First subcontractor mtg. scheduled, w/ each providing schedules.
• IT data to Clark to be flagged. Dino to confirm. (LF not sure if this was done).
• Can steam be shut off early? Dino says Dewey can be isolated if valve holds.
3.2 Structural:
• Stair ceiling: by Allowance
4.1 Interiors / Colors /Decorative Light Fixtures:
• Lorin, Charlie, Laura and Ian met with Jeff and Vicky:
• Furnishings: Okay to remove couches from conference room and tables from Study. New
chairs for conference room (faculty mtg. space (another building) has very comfortable
chairs)
• Decorative lights-Approved.
• Shelving in Study: Lorin will provide DWG to price
• Colors and Finishes discussed and approved/modified. Lorin will follow-up
• Office 215 shelving: LF to issue new sketch (done).
• Consider adding light tube into hall?
• Bulletin Board locations need more review. Remove from front hall, add to right of
secretary.
6.1 As-builts: Tom requested AutoCAD files for as-builts.
NEW BUSINESS:
7.1 GMP Pricing
• Bottom line ($2.3 million) is in line!
• $100K contingency
• Some allowances (listed at top), including plaster above and beyond what is spelled out in
drawings
• Includes lift, windows, and roof (already ordered)
• Roger will conduct one more round with low bidders to review scope and make sure
nothing is missing.
• Some subcontractors were too busy, vetted for schedule and manpower, early bird items,
etc.
• Hardware: building specialties as they had most complete, single package
• MEP
o Dino: good MEP contractors and pricing.
o Fire Alarm: need to clarify selection of system
o Moran: who did they carry for controls?
o IT: nor head end equipment, nor final connection
o Balancing: by College
7.2 GMP Options:
• yes on full basement insulation
• no, on insulation between floors
• Wall paper: CC ask Lorin
• Brick floor removal and new slab : will get price
Meetings going forward:
• LF: What is agenda for Pre Const. Mtg.?
• Roger: Next two mtgs. important for coordination and subcontracts.
• Ryan at meetings only as requested (probably once demo starts)
• Dino at all meetings.
• Walk site before mtgs. once construction starts (at 9:00). Then meet at facilities at 10:00.
• Roger– Passing baton
• Mark Ledwell will be at some meetings and at site often.
Sketches and Re-issues
• Laura will re-issue door schedule, changed by Addendum 1
• Access for LVLs @ truss bottoms, front and back wings discussed. LF will issue sketches
• Ship ladder/stair demo: LF will include in attic demo sketch.
Shop drawings submittals
• Ann reviewed flow chart, Charlie requested to be copied at same time as architect.
• Will be primarily electronic
