Minutes of Meeting # 3 – March 29, 2012
Present: Charlie Conant (Smith Facilities), Roger Cooney, Ann Ledwell, Jim Small, Tom Lucia
(Wright Builders), Laura Fitch and Ian Gasco-Wiggin (Kraus-Fitch Architects)
New Business:
Item Description / Discussion
1.4 Schedule and Permitting:
• Charlie to check on zoning permit and historic review. Charlie pointed out that
with real slate then there is no issue – he’ll ask Lu to wait.
• Ann to send list of what will be required for permit:
o 2 – wet stamped sets of drwgs- KFA
o 1 – fire protection narrative- Dino
o 1 – ch. 13 energy code review- KFA
o 1 – ch. 17 structural tests & inspections- Ryan
o 1- aab report including waivers- KFA
o 1- CD of electronic stamped drawings- KFA
o All of the constr control affidavits – from arch and various disciplines- ALL
o Copies of town approvals re historic district- Charlie
• Laura to set up meeting w/fire inspector and building inspector this week. Dino will
attend meeting with fire inspector. (Later: Inspector Thursday the 5th at 8:30)
1.5 Long lead time item - Lift
• KFA to update outline specs and drawings by April 5th.
• Wall thickness needed for door frames: What is existing wall thickness? Will need
to make 1 hour.
• Bay State has 6-10 weeks from approved shops. Need to order by April.
• Wright will survey floor-to-floor. Still to do
• LF reviewed shaft requirements and a 1 hr. fire rating for the walls is required.
• Garavanta and Schindler : LF is checking if similar power requirements. (motor
horse power)
1.6 Long lead time item – Windows
• KFA to revise Spec and Window schedule by April 5th.
• Basement window details are in progress.
• Marvin is 4-6 weeks (8 to be safe).
• Color: White or Cream? Roger gave Laura color chips. CC said green for
basement vents and windows.
• Interior finish: There is general preference for factory finish (white). CC asked
Laura to confrim with Lorin.
• Reviewed basement windows to be bricked in and new vent locations (Later: Dino
says 2 vents are big enough to require cutting of masonry and area ways. LF sent
CC drawings)
1.7 Long lead time item – MEP items
• Fan Coils and ERV: DD in progress, typically 8-10 weeks
• Light Fixtures: DD in progress, Dino will share with vendors to check lead time.
• Plumbing Fixtures: DD in progress, Dino will send cuts for review.
1.7a Long lead time item – Slate
• Details and specifications okay for now. KFA will be developing a few more
details, including membrane details.
1.8 What is needed from design team?
• Demo drawings: Roger requests single set of demo drawings, melding MEP and
architectural.
• Site drawings: Team reviewed fence locations. KFA to revise and resubmit to
Charlie.
• Structural:
• In Progress, Ryan should call Tom to coordinate additional inspections.
1.9 What is needed from design team – Specification clarifications
• Finishes: LF to coordinate a working meeting with Lorin.
• Re-sheathing entire back wing – confirm okay with Ryan to cover existing boards.
(Later: LF confirmed okay).
• Siding: pre-primed, clear vertical grain. CC says not required to be quarter sawn.
• Signage: needs more clarifications. CC said directoy could be simple frame for
printed paper insert.
• Painting numbers are very different but Roger trusts the low number
• Electrical: not sure if both numbers include fire alarms.
1.10 Design input: Laura will schedule color and finish meeting later.
1.11 Early Work: Roger asked what could be done early:
Just about anything in the basement, including post footings and footings for structural.
• Can steam be shut off early? Possibly. Could use portable heaters. What about
Clark Hall? Charlie to check.
1.12 Design Development Cost Estimate: Roger walked through latest estimate, item by
item. Bottom line ($2,032,649+) looks okay.
• Demo: up and may climb higher
• Insulation: Roger does not think that the lower bid (Safco) is to same spec so he is
carrying the higher number. See below (2.1) for alternate pricing.
• Roofing: price being comparable, CC prefers Morris
• Windows: Numbers are close but Roger needs to verify a few things.
• Plaster: may grow
2.1 Insulation:
• Walls: Alternate $17,000 for closed cell (vs open cell) PIP installation. Laura would
generally prefer open cell in walls (water blown). CC asked if this is correct for
drying brick. LF will confirm.
• Roof: Laura provided alternative to spray closed cell applications that she would
like to research further. If acceptable she suggests on-site test. Laura will send
Tom material specs (done).
• Intumescent paint: In specs for now and review with inspector later.
• Foundation walls: $2,855 add alternate for full height.
2.2 80% Drawings:
• Schedule for April 13th
NEW BUSINESS
3.1 Water Service: needs to be quick turn-over to reduce down time of fire suppression
and landscape watering.
3.2 Structural Posts:
• Need joint details at every column line and each level Ryan
• Post locations: LF reviewed locations. Okay to expose on hall side if posts wider
than walls; will require patching based board, etc. CC would like second floor
locations buried in new walls.
3.3 Window trim and painting: CC okay with suggestion to remove and replace exterior
banding at window trim. LF will list as an alternate.
3.4 Chimney caps and venting: Charlie requested more detail and described venting type.
(Later: Dino and LF discussed possibility of switching to electric hot water instead of
lining chimney…)
3.5 Mechanical Coordination Meeting: Laura and Ian met after this meeting with Dino’s
team:
• hose bibs require minor masonry cutting for recess
• condensate addressed, but facilities does not like pumps. Should be go into slab or
into capped sanitary lines (would need to scope them).
• cut slab for floor drain
• exterior condensing unit – locate within enlarged fenced trash area?
• dropped ceiling in 2nd floor back corridor?
• magnetic hold opens: LF to send Dino locations
• specs – send sample to Dino to match format
Next Meeting: Thursday April 5th, 10:00 am. This will be a coordination meeting.
Later: Laura arranged that Ryan will come at 10:00 to overlap with Dino regarding
demolition items.
